At SAMIMEX, we are committed to providing clear, transparent, and fair terms for all our customers. Below are the key sales terms that govern our transactions:
1. Payment Terms
We offer flexible payment options to suit the needs of our international clients. Our standard payment terms include:
T/T (Telegraphic Transfer): Payment is made via bank transfer, typically with a 30% advance deposit and the remaining 70% before shipment.
L/C (Letter of Credit): For larger transactions or customers requiring additional security.
Other Payment Methods: Payment via PayPal, wire transfers, or other methods can be negotiated for specific agreements.
2. Pricing and Currency
Pricing: All prices are quoted based on the agreed order quantity and product specifications.
Currency: Prices are typically quoted in USD (United States Dollar) or EUR (Euro). Local currency pricing can be arranged based on market conditions.
3. Minimum Order Quantity (MOQ)
To streamline operations and maintain product quality, we have a minimum order quantity (MOQ) for each product type:
ST25 Rice: Minimum order of 25 metric tons or 1x20ft container full loading.
Jasmine Rice: Minimum order of 10 metric tons or 1x20ft container full loading.
Other Specialty Rice: MOQ can vary depending on the product and packaging requirements.
Custom orders may have different MOQ depending on product specifications.
4. Delivery and Shipping Terms
SAMIMEX provides reliable shipping options to ensure on-time delivery. Our standard shipping terms include:
Incoterms: We offer FOB (Free on Board), CIF (Cost, Insurance, and Freight), and other shipping terms based on the customer’s needs.
Lead Time: Typically, shipments are processed within 15-30 days after order confirmation, depending on product availability and order volume.
Delivery Time: Delivery times may vary based on the destination and mode of transport. Estimated shipping times will be provided upon confirmation of the order.
5. Packaging and Labeling
Packaging: Our rice products are packaged in high-quality, durable bags. Custom packaging options are available.
Labeling: We offer private labeling to meet customer branding requirements, ensuring that all packaging complies with international standards for export.
6. Quality Assurance
All our products undergo strict quality control measures to ensure they meet international food safety standards. Our certifications include:
ISO 22000: Food safety management system.
HACCP: Hazard Analysis Critical Control Point for food safety.
Inspection and Testing: We perform regular checks for quality, moisture content, and purity to ensure consistent, premium quality.
7. Returns and Claims
Returns: Due to the perishable nature of our products, returns are not accepted once the goods have been shipped.
Claims: Any issues with the quality or quantity of the products must be reported within 7 days after receiving the shipment. We will investigate and resolve any valid claims in a fair and timely manner.
8. Terms of Agreement
All agreements are subject to SAMIMEX’s terms and conditions as outlined above.
Any changes to the terms must be agreed upon in writing by both parties.
9. Confidentiality

10. Order Confirmation
Once your order is confirmed, SAMIMEX will send an official Proforma Invoice outlining the agreed terms, including pricing, delivery schedule, and payment terms. This document serves as the foundation for further processing the order.
11. Shipping Documentation
Upon shipment, SAMIMEX provides all necessary documents to ensure smooth customs clearance and delivery, including:
Bill of Lading
Commercial Invoice
Packing List
Certificate of Origin
Phytosanitary Certificate (if required by destination country)
Inspection Certificates (if applicable)
All documents are sent via email or courier and will be available for tracking purposes.
12. Force Majeure
SAMIMEX is not liable for delays or failure in performance due to unforeseen circumstances beyond our control, such as natural disasters, strikes, or government actions. In such cases, we will inform our clients promptly and work together to find a suitable solution.
13. Insurance
SAMIMEX recommends that customers insure their goods during transportation, although insurance costs can be included in the shipping cost upon request.
14. Price Adjustments
Prices quoted are valid for the period specified in the Proforma Invoice or until the market changes (e.g., fluctuations in currency exchange rates, raw material prices, etc.). SAMIMEX reserves the right to adjust prices based on such changes, but we will always inform the client before processing the order.
15. Exclusivity and Territory Agreements
SAMIMEX may offer exclusivity agreements for specific territories or market segments based on mutual agreement. These agreements will be formalized in writing and subject to further negotiation.
16. Dispute Resolution
Any disputes arising from business transactions between SAMIMEX and its clients will be handled through amicable negotiation. In cases where negotiations are unsuccessful, disputes may be resolved through arbitration in accordance with the laws of Vietnam.
